At Rent The Scent LLC, we provide premium commercial-grade diffusers and luxury oils to elevate the ambiance of your wedding or event. We also sell diffusers and cold-diffusion oil for home and business use. To ensure a smooth and seamless experience, we’ve outlined the following terms and conditions, which detail our services, policies, and your responsibilities as a client. By booking/making a purchase with Rent The Scent LLC, you acknowledge and agree to these terms, helping us deliver a high-quality, hassle-free service for your special occasion.

Rental Options

1.1. Picked Up (Boca Raton, FL):

  • Clients are responsible for picking up the rental diffuser and luxury oil at our Boca Raton, Florida location.

  • Pickup will be arranged 1-2 days before your event, and returns are due on the following weekday after the event.

  • The company will contact you to confirm pickup and return times.

1.2. The Birth (30-Day Rental):

  • We suggest scheduling pick-up or mailing of the diffuser 2 weeks before your tentative due date as labor can occur early.

  • The rental period is 30 days, and the return shipment must be sent back in the same box within the 30 day rental period.

1.3. Mailed Rental (5-Day Rental):

  • We mail the diffuser and luxury oil via FedEx within the United States.

  • The rental package will arrive 3 days before the event date and includes a return shipping label for ease of return.

  • The rental period is 5 days, and the return shipment must be sent back in the same box on the following weekday after your event.

1.4. Extended Rental (10-Day Rental):

  • We mail the diffuser and luxury oil via FedEx within the United States.

  • The rental package will arrive 5-7 days before the event date, and the extended rental period is 10 days.

  • The return shipping label is included, and the diffuser must be returned in the same box within the 10-day rental period.

1.5. Signature Event (Professional Setup):

  • Rent The Scent LLC will set up and manage the diffuser system for your event. This option eliminates the need for clients to handle the diffuser.

Payment Terms

  • The full rental amount is due at the time of booking for all rental packages, except for The Signature Event.

  • For The Signature Event, a 1/3rd deposit is required to secure the booking, 1/3rd is due about midway from booking date to event date, with the final 1/3rd payment due 30 days prior to the event date.

  • For purchases of diffusers or cold-diffusion oils, full payment is required at checkout.

  • For home and business HVAC installations, a 50% deposit is due upon booking the installation appointment, and the remaining 50% is due on the day of installation.

  • If an electrical outlet needs to be added adjacent to the HVAC system, an electrician will provide a quote, and the total payment will be due before the work begins.

Return of Property to Rent The Scent, LLC

The client agrees to return all rented property, including original packaging materials, using the provided prepaid postage label. The property must be returned to the designated shipping provider one day after the event date (the return date).

  • If the return date falls on a Sunday or Federal Holiday, the property must be returned the following business day.

  • A $25 late fee will be charged for each day the property is not returned to the designated shipping provider by the agreed-upon date.

  • A $50 fee will be applied for any missing packaging inserts.

  • Rent The Scent LLC is not responsible for any personal property unintentionally returned with the rental equipment.

Damage or Non-Return of Rental Property

If the diffuser is damaged, lost, or not returned within the rental period, the client will be charged the full retail price of the diffuser as listed on our website, minus the cost of the rental package booked.

  • Damage assessment will be conducted upon return, and the client will be notified of any additional charges within 5 business days.

  • If repairable, Rent The Scent LLC reserves the right to charge repair costs instead of the full retail price.

  • Rental and Lease contracts will contain a list of parts and pricing to replace if damaged or lost.

Cancellation Policy

  • A 90-day notice is required for cancellations in order to receive a refund of payment or deposit.

  • Cancellations made less than 90 days before the rental date will result in forfeiture of the 50% of the total contacted price.

  • All cancellation notices must be sent via email to RentTheScent@gmail.com. Once processed, confirmation of cancellation will be provided.

If Client cancels a wedding or event, they may choose between:

  • 50% refund of total contract price.

  • 75% credit toward a future rental or purchase.

  • If rental has already been shipped but diffuser unused and fragrance oil unopened then a 25% refund issued upon inspection of return with non use confirmed.

Scent Sampling

  • Clients can sample scents either by requesting a mailed sample kit or by scheduling an in-person appointment (available for South Florida clients only).

  • The fee for mailed sample kits is $25. This fee is refundable upon booking a rental package or purchasing a diffuser, with the following refund structure:

  • 100% refund if The Event or Signature Event rental package is booked.

  • 50% refund if any other rental package is booked.

  • 100% refund if a diffuser with coverage of 1,000 square feet or more is purchased.

  • 50% refund if a diffuser with coverage of less than 1,000 square feet is purchased.

Event Scent Selection​

  • The client selects the scent for the event prior to the event date. We recommend sampling scents in advanced to ensure satisfaction.

  • Rent The Scent LLC is not responsible if the client is unsatisfied with the chosen scent on the day of the event.

​

Liability for Cold Diffusion Oils

Rent The Scent LLC’s cold-air diffusers use specialized luxury oils. By renting from Rent The Scent LLC, the client agrees that:

  • Rent The Scent LLC is not liable for any allergic reactions, damage, or adverse effects caused by the oils or their diffusion into the environment.

  • It is the client’s responsibility to inform guests and other attendees of the event about the use of diffused oils and to take necessary precautions for individuals with sensitivities or allergies.

 

Electrical Power Source

  • The client is responsible for ensuring a reliable electrical power source at the event venue for the diffuser setup.

  • For rentals, the client is responsible for brining power cords and electrical tape to secure cords once the rental diffuser is set up.

  • If power is not available or there is a power outage during the event, Rent The Scent LLC is not liable for the diffuser's inability to function.

Safety and Responsibility

  • The client is responsible for securing all power cords attached to the diffuser to prevent tripping hazards. Electrical tape or other appropriate materials should be used to firmly secure cords once the diffuser is set up.

  • The oil compartment door must remain locked at all times to prevent access by pets, children, or guests.

  • The diffuser must be placed on a flat, stable surface or floor to ensure it does not tip over or fall during the event.

  • For rentals, the client is responsible for brining electrical tape to secure cords once the rental diffuser is set up.

  • Rent The Scent LLC is not liable for any injuries or damages resulting from improper setup or failure to follow these safety guidelines.

Acts of God and Event Cancellation

  • Rent The Scent LLC is not responsible for any shipping delays, diffusion interruptions, or order cancellations due to Acts of God (including, but not limited to, natural disasters, extreme weather, power outages, etc.).

  • In the event of a cancellation caused by such occurrences, any fees paid are non-refundable.​

Use of Photos and Videos

  • Rent The Scent LLC reserves the right to use any photos or videos from events where our diffusers are featured for promotional and marketing purposes, including but not limited to social media, website content, and advertising materials.

  • If the client prefers that their event not be featured, a written request must be submitted prior to the event. Without this request, the client consents to the use of such media by Rent The Scent LLC.

Return Policy for Purchased Unused Diffusers

  • Customers may return any diffuser purchased online within 30 days of the purchase date or the date of receipt, whichever is later, for a refund.

  • The diffuser must be unused, in its original packaging, and include all parts and accessories.

  • A 20% restocking fee will be applied to all returned diffusers.

  • Shipping costs are non-refundable, and the customer is responsible for return shipping.

  • No refunds will be issued for used diffusers.

Processing Exchanges for Purchased Diffusers

  • To initiate a exchange for a purchased diffuser, customers must send an email to RentTheScent@gmail.com, including proof of purchase and a detailed reason for the exchange.

  • If the diffuser is faulty and the exchange is requested within 1 year of purchase, we will replace the diffuser, provided the customer confirms that the diffuser has been properly maintained.

  • Proper maintenance includes cleaning the diffuser once per month by emptying the oil and running isopropyl alcohol through the machine for 20 minutes.

  • Rent The Scent LLC reserves the right to deny replacement if maintenance has not been performed or if the fault is due to misuse.

Non-Refundable Items

  • Opened oils are non-refundable. For health and safety reasons, we cannot accept returns on any oils that have been opened or used.

Shipping for Cold Diffusion Oil Purchases

For Cold Diffusion oil purchases, please note that shipping times may take up to 3 weeks. Oils are not pre-poured or mass-produced in order to maintain their freshness and quality. Oil orders are bottled once a week, and if an order is placed after the weekly bottling day, it will not be processed until the following week. The specific bottling day may vary week to week, and we recommend ordering in larger quantities and placing orders at least 1 month prior to when the oil is needed to ensure timely delivery.

Cold Diffusion Oil Packaging

Due to the availability of materials, the packaging for Cold Diffusion oils may vary. Rent The Scent LLC reserves the right to use different types of containers, which may include glass, metal, or plastic. The type of packaging used will not affect the quality or performance of the oil. Any variation in packaging will be based solely on material availability and does not warrant a return or refund.

Dispute Resolution

In the event of a dispute, both parties agree to resolve the matter through mediation before pursuing legal action. Any legal disputes will be governed by the laws of Florida/United States, and any litigation will be conducted in the courts of West Palm Beach/Florida.

Miscellaneous

  • These terms and conditions are subject to change, and clients will be notified of any updates prior to their rental.

  • Rent The Scent LLC reserves the right to refuse service or terminate rentals if terms and conditions are violated.
